Bar / Bat Mitzvah Planning Timeline

For many parents, planning a Bar/ Bat Mitzvah can quickly become stressful and overwhelming. That is if you do not have a party planning timeline in place.

If you want to stay organized while planning one of the biggest days in your child’s life, follow our simple timeline below.

bat mitzvah planning

2-3 years before

Contact your synagogue in order to secure the date of your child’s bar/bat mitzvah. Traditionally, the date of the event will be assigned according to your child’s birthday. If you plan on requesting a specific date, make sure you reach out well in advance to secure your spot.

Once you have the date settled, the next step is to decide on the style of the event. With consideration of your lifestyle and budget, decide if a simple celebration or lavish affair works best for your family.

18-12 months before

With a theme and budget in mind, it is time to start making major decisions and putting down deposits. About a year and a half in advance is the best time to book the venue and vendors, including catering, photographer, and decorator.

This is also the time to book entertainment and select activities, such as DJs, karaoke, and photo booths.

6-12 months before

The next stage in the Bar/ Bat Mitzvah planning timeline is developing the guest list, complete with correct spellings and addresses. Once the guest list is finalized, it is time to send out the invitations.

Make sure you are keeping track of which guests can make it, as well as who can not. For out-of-town guests, begin arranging for hotel and transportation accommodations, if needed. Many local hotels offer discounts or other incentives when booking a hotel block.

3-6 months before

Now, it is time to get creative with party logistics and venue planning.

It is best to start by getting all the ordering and purchases out of the way first. This means ordering favors, event decor, and signage. Make sure all decor and centerpieces match with your color scheme and overall theme.

Then, once you have a general idea regarding attendance, it is time to order place cards and table numbers. This will help you decide on the venue layout, regarding the placement of tables, food, screens, and entertainment. It is also common to provide a guest sign-in book or board, which will make for a memorable keepsake.

This is also a good time to start thinking about photos to use for the video montage. You do not want to bore your guests with an excessive montage, so we recommend keeping the length between 6 or 8 minutes, which is the equivalent of two songs.

1 month before

One month before the Bar/ Bat Mitzvah is normally when all the final touches are made. Determine the final guest list with meal selections and make any necessary changes to the seating arrangements.

With all the major decisions out of the way, it is time for the fun stuff to really begin. Spend some quality time with your child by purchasing new attire for the event. Recruit family members and friends to help assemble favors and gift bags.

After all of that, it will be time for the rehearsal and then the big day!
